THE IMPORTANCE OF UNDERSTANDING THE SCHEDULING PROCESS: A JOURNEY WITH THE GANTT CHART AND PERT-CPM

In the busy world of projects (Project = development of an idea that requires the execution of several activities), knowing how to schedule is like embarking on an easy and entertaining journey that takes you straight to success. And on this exciting journey, two tools stand out as the most reliable traveling companions: the Gantt Chart and the PERT-CPM.

Imagine that you are in charge of organizing an important event, let's say a conference. You have to coordinate a team of people, book the venue, organize the presentations, and make sure that everything goes perfectly on the day of the event. Sounds overwhelming, right? But fear not, the Gantt Chart is here to save the day.

The Gantt Chart is like the master planner of your project. It allows you to visualize all the tasks you need to complete, how long each one will take, and when they should be done. It's like having a detailed calendar that guides you step by step from the beginning to the final goal. With the Gantt Chart, you can quickly identify dependencies between tasks, allocate resources efficiently, and keep the project on track.

But wait, there's more! As you progress through your scheduling journey, you come across another powerful ally: PERT-CPM. This tool is like your project's GPS navigator, helping you calculate the most efficient routes and avoid bottlenecks along the way.

PERT (Program Evaluation and Review Technique) and CPM (Critical Path Method) are like two sides of the same coin. PERT focuses on the sequence and duration of tasks, while CPM identifies the critical path, i.e. the sequence of tasks that determines the overall duration of the project. Together, they give you a clear view of key milestones, critical points, and areas where you can adjust the plan to optimize time and resources.

Going back to our conference example, PERT-CPM helps you identify which tasks are the most important and which can wait. If you find that hiring the keynote speaker is the most time-consuming task, you can allocate additional resources or look for ways to speed up the process to avoid delays at the event.

The task of scheduling then consists of making the list of activities. Placing them in order of precedence, determining the duration of each one. Let's pause here for a moment, let's take an example: in the project to build a house we will find the activity "making the windows." This activity can be solved in various ways. The windows can have a wooden frame, an aluminum frame, the frame can have different thicknesses. The glass can be thin, thick, completely transparent, opaque or with sun protection and finally it can have no frame. It can open in a sliding way, outwards, or folding. As we can see, each task or activity can have an enormous diversity of solutions that mean different costs, different risks and different duration times. This analysis work is not yet contemplated by digitalized programs, we must learn it in another context.

The scheduling process is no different whether you're dealing with a huge project or a small one. Planning a trip to the moon is like organizing a conference! You need to choose the venue, coordinate teams, make sure you have enough fuel (or coffee), and prepare for any unforeseen events. The only difference is that on the moon there won't be boring presentations, but rather a breathtaking celestial landscape!

In short, understanding the scheduling process and using the Gantt Chart and PERT-CPM is like having a superpower that allows you to plan, organize, and execute projects efficiently and effectively. Whether you're organizing an event, building a bridge, or launching a new product into the market, these tools will help you navigate the complex world of project management with confidence and success.
